Replace Data

Use the Replace button in the Replace window to find and replace data. You can replace data within a column, entire table, or selection.

Important! Do not use Replace to renumber phases or items. Use the Renumber feature instead.

  1. From the Searching group of the Home tab, click Replace.
  2. Type the data you want to look for in the Findbox.

    If you are searching in a column that has checkboxes, use only true or false in the Find box. (The search is not case sensitive.)

  3. Type the replacement text in the Replace with box.

    If you are replacing the selection in checkboxes, use only true or false in the Replace boxes.

  4. In the Look In list, select a region of the table to search. You can search a column, the text you have selected, or the entire table.
  5. In the Match list, select how the search text must compare to table cells.

    • Click Start of Field to find text that appears only at the beginning of a cell.
    • Click End of Field to find text that appears only at the end of a cell.
    • Click Part of Field to find text that appears anywhere in a cell.
    • Click Whole Field to find text that exactly matches cell contents.

    Note: If you are searching a column that includes checkboxes, the program always searches the whole field, regardless of your entry for the Match field.

  6. Select the Match Case box to find only text that matches the capitalization of the text you entered in the Find box.
  7. Select the Increment by checkbox to increment the value you enter in the Replace with box.

    The Increment by checkbox is available only if you enter a number in the Replace with box.

    Type an increment value in the Increment by box. You can enter up to 5 digits.

    Replacement always starts with the currently selected column. If you are incrementing a group of cells, select the cells by pressing [Ctrl] when you click the first cell in the sequence and while you extend your selection.

    Tip: If you select the Increment by checkbox, you can enter up to 36 characters in the Replace with box.

  8. Click [Find Next] to find and select the next occurrence of the text.

  9. Click [Replace] to replace text you have found and then move to the next occurrence.

    Click [Replace All] to replace all occurrences of the text you typed in the Find box.
