Edit Items window
Note: If you use the Use classic Edit Items window option, the window is named Database Item and looks different from the window described here.
You use this window to enter the coding, unit, formula, pricing, job cost, and category information for an item, along with crew or WBS information .Sage Estimating (SQL) saves your entries when you click [OK]. You should set up an item in every phase where it is needed.
You can save all your changes from your session at one time. Although you do not need to save changes in one item before you begin to edit another item, you should save your work periodically so you do not lose hours of work in case of a power outage.
To open the Edit Items window:
- On the ribbon, from the Data tab, click . group on the
- In classic view, click Database > Items.
Items in this window
You use the phases pane to navigate to and select the phase that contains items you want to edit. Items for the selected phase appear in the items grid.

All Phases |
This node appears in the tree if you selected the Show all phases option (in the Estimating Options window). To display all the items from all the phases in your standard database in the Edit Items grid, select All Phases in the navigation pane. If you have a very large database, loading all the items from the standard database into the grid can take considerable time. |
Phases |
Displays a list of phases in the standard database. The items grid in the Edit Items window displays items for phases you select in this pane. If you select a group phase, the grid displays all the phases for that group. If you selected the Show all phases option (in Estimating Options), you can select All Phases in the navigation pane. Estimating then displays all standard database items in the grid. |
Search |
To display only certain phases from a long list of phases, type a keyword or the initial alphanumeric characters from the phase code in the Search box above the phase pane. |

To create a new item from scratch, use the [ ] button. |
Duplicate |
To create a new item by copying all the attributes of an existing item, select the existing item on the grid, and then click [ ].Note: You need to change the item to use a unique code before you can save the new item. |
Remove |
Use this button to delete a selected item on the grid. Removed items remain on the grid as Marked for removal and are dimmed until you save your changes. |
Restore |
If you remove an item in error, you can restore it by selecting the item on the grid, and then clicking this button. |
Show Edits /Show All
|
Before saving your changes, you can click the [ ] button to see all the items you changed in all the affected phases.With all your edits showing in the grid, the button changes to [ ]. When you click [ ], the grid again displays all the items in the selected phase. |
Search |
You can use the Search box above the items grid to find a particular item quickly from a long item list. |
You can edit some item attributes directly on the grid by clicking the list button for that attribute, and then selecting the attribute you want to assign to the item from the list. For example, to change the price code for an item, you click the list button in the Price code column, and then select a different code from the Price Code List window. |

Use this button above the phases pane to show or hide the phases navigation pane. |

Use this button to show or hide the item detail pane so that you can see more of the items grid. |
The grid displays all items phases selected in the navigation pane. Details for an item selected on the grid appear in the section below the grid on several tabs.
Tips:
- You can click most column headings to sort items in ascending or descending order based on that column.
- Estimating highlights cells that you change in the grid.

Phase |
If you want to change the phase for an existing item, click the list button in Phase cell for that item. That opens the Edit Phases window, where you can select a different phase and associated items. |
Phase description |
This is the description for the phase. It comes from the standard database, and you cannot change it directly. |
Item |
This is the item number. You can change it by typing a new number in the Item column for an item. |

This is the description for the item. It comes from the standard database, and you cannot change it directly. |
Unit |
You can change the unit for an item by selecting a different unit from the dropdown list that appears when you select a cell in the Unit column. |
Formula |
You can change the formula assigned to an item by selecting the list button in the Formula column for the item. You can then select a formula from the Formula List. |
Crew |
You need a license for crews to use this column. You can assign or change a crew for equipment and labor categories by selecting the list button in the Crew column for the item. You can then select a crew from the Crews List. |
Waste factor % |
You can type a waste factor percentage in this text field. |
Price code |
You can double-click in this column and then type a price code, or you can use the list button that appears when you select a price code cell. You can then select an existing price code from the Price Code List. |
Attachment |
You can type in or paste the path to a file in this column, or you can use the list button to open the Attach File window to browse to and select a file. |
BOM |
You can use the list button to open the Database Bill of Materials window to select a different bill of materials. |
Notes |
To enter notes for the item, double-click in this column to open the Edit Notes dialog box, where you enter notes. |
When you select an item on the grid, Estimating displays the item record below the grid on separate tabs. You can edit pricing, WBS codes, and other details, and then select another item without having to leave the Edit Items window or scroll through item records one at a time.
Tip: If the Item Detail pane is not visible, click the button below the grid to display it.

Pricing |
You use this tab to specify information to use for ordering the item. |
Rounding |
You use this tab to specify how Sage Estimating will handle rounding, waste, and taxes for each category associated with an item. |
Links |
You use this tab to link prices between two or more items in the standard database. Then, when you change the price of one item, Estimating automatically updates the price of all other items linked to that item. Note: Linking is available only for Labor, Material, and Equipment categories. |
Subcategory |
You use the Subcategory tab to specify user-defined subcategories for which to accumulate costs and unit totals for each item category. You set up subcategories using the Edit Database Subcategories window (available from the Codes group of buttons on the Estimating ribbon). |
Job Cost |
You use this tab to specify the categories, job cost phases, job cost categories, and quantities to use when you export an estimate to a job cost application. |
WBS |
You use this tab to assign WBS values to a selected item. Note: Before you can assign WBS values to an item, you need to set up WBS codes for your standard database using the Database WBS Settings window (available from the Codes group on the Estimating ribbon). |
